Our Policy + Conditions
To reserve your spot on an expedition
Step 1:
The first step in your journey is to read this MountainQuest Adventures (MQA)Booking Policies and Conditions page.
Step 2:
Next, complete a trip application form, and forward it to us along with your $500 (US Dollars) deposit.
Step 3:
Upon receiving your deposit, we will hold your spot, and forward you a detailed Expedition Dossier. The Dossier will contain our Medical & Fitness evaluation form, our release of liability form, and a copy of your customized trip itinerary for your approval. Once we have your approval on these forms, your trip is reserved.
When to Book:
Our group sizes are small and our accommodations are small bed and breakfasts style lodges that fill up quickly. We strongly recommend reserving your spot at least eight months in advance. If we are not able to offer you a spot, we will return your deposit within 14 business days.
MountainQuest Policies and Conditions
PAYMENT SCHEDULE
1. $750 (US Dollars) Deposit – Due at time
of reservation (secures your spot and dates)
2. Balance of trip
cost – Due 3 months prior to month of departure, on the 1st day of
the month
Payment is accepted as follows:
1. Personal
check, business check or money order posted to our office
2. By
wire transfer to our account at the TD Canada Trust Bank
3. By
Credit card, through Paypal, our secure online payment provider (A
small fee applies when paying balance of trip cost with credit card)
If your payment is not received, and no other arrangements have been made, we will assume that you have cancelled. Your spot will be filled from our waiting list.
GUARANTEED DEPARTURES
Our trips are guaranteed – even if there is only one climber (though this is highly unusual). We will not cancel a trip due to low sign up.
MEDICAL and FITNESS EVALUATION
Every trip member is required to fill out a Medical & Fitness Evaluation form when booking a trip. This form requires complete disclosure about the state of your personal health (such as your age, weight, blood pressure, any current medications you are using, past health issues, current training, fitness level, exercise routines, history at altitude etc.) Please let us know immediately if there are any concerns regarding your health. We may need to contact your doctor for more detailed information, and will require time to do this.
CANCELLATION POLICY and FEE SCHEDULE
If you decide to cancel
your trip or change your itinerary, MountainQUEST Adventures (MQA)
must be notified in writing. The following fees will apply for each
person based on the date the written notice is received: (all
amounts are in US Dollars)
More than 120 days from Trip
Departure: $500 Fee
60 - 120 days from Trip Departure:
$750 Fee
45 – 59 days from Trip Departure: 50% of Trip Cost
0 - 45
days from Trip Departure: 100% of Trip Cost
If proper written cancellation notice is not received, amounts paid and reservations made will be forfeited.
MQA is not responsible for expenses (e.g. nonrefundable airline tickets, visa fees, equipment, etc.) incurred by trip members in preparing for cancelled trip, regardless of cancellation reason, or for any additional expenses should the trip members have embarked or returned prior to or after any scheduled date.
DATE CHANGES
If you are not able to join your trip dates, due to illness or other emergency, we will do everything we can to reschedule your trip without major expense or penalty to you.
Please let us know as early as possible, and we will tell you if we are able to reschedule. Because we have limited staff, guides, and accommodations, any change from trip departure can be extremely difficult and is subject to all incurred expenses as assessed by MQA.
Date change Policy:
A written request
must be received for any date changes, along with a new trip
application. If we agree to the date change, the following fees
schedule will apply: (all amounts are in US Dollars)
1.
There is a $50 fee per person for any approved date changes
2.
Date changes must be received and approved at least 61 days prior to
your trip departure date.
3. Cancellation fees will apply to all
date change requests received within 60 days of your trip departure
dates.
4. Although we will make every effort to fill your
original dates, you will be responsible for any fees incurred by
MountainQuest Adventures (typically imposed by third party
suppliers, such as hotels, airlines, and safari operators). These
fees will be over and above your original land costs.
Please try to let us know in plenty of time, and we will do our best to accommodate
SINGLE SUPPLEMENT
If you are traveling as a single, a supplement may apply. Please refer to the trip itinerary for the supplement information. If possible, (unless you prefer your own room and / or tent) we will avoid charging you a supplement by pairing you with a roommate of the same gender (if available).
CONDITIONS of BOOKING
Route Changes: It is possible that a route change may become necessary on the trip. Route changes will always be at the discretion of the guide. No refunds will be available in the event of any route or itinerary change.
Postponement or Delay: Delays and postponements in transportation sometimes occur. MQA cannot be responsible for these at any time. Every effort will be made to minimize any inconvenience, but MQA is not responsible for additional costs that may arise.
Responsibility: Trip members are responsible for the cost of evacuations. Trip insurance, which includes emergency evacuation coverage, is strongly recommended. MQA will take every care with client’s baggage and property but is not liable for loss, damage, theft or delayed delivery. MQA acts as an agent for the transport, accommodations, and services of the company supplying this trip. MQA may not be held liable for non-performance of any such supplier. If the client is not able or willing to assume the above-mentioned risks, it is STRONGLY RECCOMENDED that the client should purchase trip insurance.
Trip Cancellation: MQA reserves the right to cancel any trip prior to departure for any reason, including logistical problems, or medical concerns that may effect the trip’s operations or safety.
DISCLOSURE
Please note that no partial refunds will be given for unused meals, hotel rooms, airport transfers etc., for any reason whatsoever. MountainQuest Adventures reserves the right to increase the tour price in the event of cost increases due to changes in airfares, currency fluctuations, park fee increases or fuel surcharges. MountainQuest Adventures reserves the right to alter the tour without notice.
MountainQuest Adventures is not responsible for expenses incurred by trip members in preparing for the trip (e.g. visa fees, immunizations, insurance, equipment, etc.) or for any necessary additional travel arrangements should you embark from home before the group departure date. Accommodations are subject to change.
MountainQuest Adventures is not responsible for expenses incurred due to any deviation from the schedule undertaken by choice of trip participant. MQA alone reserves the right to cancel (in accordance with the above terms), or postpone any trip due to acts of man (e.g. war, terrorism, etc.), or nature beyond the control of MQA.
